Once our tour proposal is accepted and you would like us to put the tour into operations, we normally require a goodwill deposit of either GBP £500 for tours quoted in pounds sterling or USD $750 for tours quoted in US dollars or EUROS €700 for tours quoted in Euros.
On occasions, it may be possible to waive all or part of this deposit. Any such exemptions must be discussed and agreed at the time of confirmation and prior to putting the tour into operations.
From time to time, it may also be necessary to pay deposits in advance for some hotels or for other services such as theatre tickets, rail tickets, special events etc. In this eventuality, we would negotiate the lowest amount payable with the best possible conditions, giving you as much notice as possible.
We will send you our pro-forma invoice for the tour 2 months prior to departure. Payment must be made in full against our pro-forma invoice and received by us in the quoted currency no later than 45 days prior to arrival of the group.
Payment should be made by direct telegraphic transfer into the correct account, ie the same currency account as the invoice.
Credit Cards: Please note that we accept most credit cards for deposit payments, however a 3% fee will be charged for sterling payments & 5% for all other currencies.
Group Cancellation –
MORE THAN 60 DAYS PRIOR:
If a group cancels more than 60days prior to arrival Sovereign Tourism will retain GBP £250 (EUROS €350.00) of the goodwill deposit to cover our basic costs plus any other supplier deposits that may have been made.
BETWEEN 60- 31 DAYS PRIOR:
If a group cancels between 60 and 31 days prior to arrival, the whole deposit is forfeited plus any other supplier deposits that may have been made.
WITHIN 30 -1 DAYS OF ARRIVAL:
If the whole group cancels within 30 days prior to arrival then a 100% cancellation fee will be applied
Individual Cancellations (When booked as part of a group)
If a passenger booked as part of a group cancels up to 30 days before day of arrival, we will charge £100.00 cancellation fee plus any charges as levied by the suppliers.
Between 30 & 7 days of arrival we will charge 25% of the total cost per person cancellation fee plus any charges as levied by the suppliers.
Within 6 days prior to arrival – 100% cancellation fee is applied.
Any person(s) wishing to deviate during the main group tour will not be refunded for any services which they do not use at any time during the main tour.
It is strongly recommended that all tour members take out personal and baggage insurance. No responsibility is incurred by Sovereign Tourism Ltd for loss or damage to passengers’ belongings or baggage or for personal injury during the tour.
RESPONSIBILITY / FORCE MAJEURE
Sovereign Tourism and their representatives act only as agents for the tour members in making arrangements for hotels, transportation, sightseeing, restaurants or any other services in connection with the itinerary, and they will take reasonable care in making such arrangements.
Sovereign Tourism will not be liable for any loss or damage arising out of or in connection with the holiday where performance and/or prompt performance of the contract is prevented by reason of war or threat of war, riot, civil strike, industrial dispute (affecting employees or any person other than those of the company), terrorist activity, natural and nuclear disasters, fire, adverse weather conditions, hostilities or political unrest and other similar conditions beyond the control of the company.
Please ensure that your client communicates any problems with the services provided during the group’s stay as soon as they occur.

If you do not follow this procedure, we cannot accept responsibility, as we will have been deprived of the opportunity to investigate and rectify the problem.
Sovereign Tourism will not accept any liability in respect of any query, which is not reported to us in writing within the next 7 working days of the group returning home.
All complaints should be sent, in writing, for the attention of the Director, to the address given below.
It is imperative that you read, accept and are aware of all the booking conditions relating to your group/file, as outlined under ‘Booking Notes’ attached to all proposals.
